I send Booking Form & T's&C's by e-mail (word doc). They usually print, fill in & sign the BF & return it with deposit cheque. However, as I have recently had my first Euro guests meaning the deposit is paid into the Spanish account I thought it daft to wait for the BF by snail mail so am happy if they sign/scan/e-mail it back or just fill it in without signature & e-mail it back.

After final balance I send 'Accom notes' (word doc) & map (pdf) by e-mail.

I often get people who can't open the word documents but throw it at hub to do a 'zip' wotsit & that usually works. Yes, I should know how to do it myself but cling to my 'technophobe' excuse.

Although we've always sent our booking form and contract by attached Word docs without a problem, we've had a recent punter who edited the contract to his own requirements, and sent it back as a PDF - I've only just picked it up. A touch cheeky if I was being generous?

Looks like PDFs in future.

Ooh, crumbs MG! Hadn't thought of that risk - so you check your Ts and Cs when they're returned as a matter of course do you?

Actually, why ask them to sign a copy of the Ts and Cs at all? Ours are accessed to read by a link from the bookings page on our website - they read them there and sign the booking form to say that they've read and accepted the Ts and Cs. Simpler? :)

Sign or tick. My booking form is currently being changed to an emailable form, so in future they will simply tick.

We also don't have signatures at all from guests.

The emailable booking form is going to be more of an advantage to me with guests who are not able to send a cheque, and who are having to arrange a payment by other means - wire transfer for example. For guests in the UK, to print off the form and send it with their cheque will still be the way to go. :)

That wouldn't work for me, I do not open e-mailed Word documents, it's far too easy for something nasty to be embedded into one.

Why not send a pdf ? there are many free PDF writers available, I use CutePDF which works well.
